Correspondence to Supervisor

Write a brief (200-300 word) note, memo, e-mail, or letter to the supervisor of some person who has provided excellent service for you or for someone else in the last two months. The service you reference must have been "above and beyond the call of duty," and you must write to real named people about a real event that really happened in your life.

Your note must request the supervisor to take action to formally recognize the employee's act. Merely commending the employee yourself is NOT what is required, as that will merely be posted in the employee’s file and result in an embarrassingly low grade for you. Deliver your request to the supervisor.

NOTE: The person to whom you are writing can be any supervisor in any establishment with which you have had contact (not just in your imagination--in real life--see above). The supervisor CAN NOT be someone YOU supervise, nor can the employee singled out be someone who works for you.  Merely commending the employee yourself is NOT what is required, as that will merely be posted in the employee’s file and result in an embarrassingly low grade for you.

Memo to Your Instructor

Write a 400-500 word report to your instructor (in business memo format) describing the supervisor's reaction and other consequences of your request. Include a copy of your request to the supervisor as the last page of your report to your instructor and submit both documents in ONE MS Word file.  Remember that NO ACTION by the supervisor constitutes a valid result for the report.

I am writing to express my gratitude for the services provided by one of your employees, for the excellent service he provided me at the Hollywood Post Office on Highland Avenue on September 1, 2019.

Fernando is not just a mail carrier; he is also a lifesaver. I had the good fortune of being at home when he delivered a package to my home on September 1st, and he noticed that something was wrong with me. He asked if everything was okay, and I told him I was not feeling well that I had just been released from the hospital after having heart surgery and should not have been at home alone. He promptly called 911 and stayed until the paramedics arrived and took me back to the hospital for further care. My situation might have become dire without his assistance, but I got immediate medical attention when I needed it most, thanks to him.

He is truly an asset to your company and deserves much praise for his actions that day. He went above, and beyond his duties as a mail carrier, so I hope you will find some way of formally recognizing him.

Subject: Supervisor’s Recognition of the Employee

The supervisor's actions of recognizing and appreciating the employees' performance are the key to success. The performance management program determines that each employee receives fair, objective and consistent treatment in their job evaluations. It is a process that identifies what is important to the company and how it will be measured. This would include identifying desired outcomes, measuring employee performance, providing feedback to employees on their performance, and dealing with any discrepancies or problems identified through the process. This plan must be communicated clearly to all organization members so that they know what is expected of them and what they can expect from their managers.

I believe that the supervisor's actions were more than sufficient. They thanked the employee, and they made a plan to ensure it didn't happen again. The first actions that the supervisor took were to thank the employee for his actions. Most people would not have known what to do in this situation, so the employee must have been very grateful that he was there. The first thing you need to do is show your employee that his actions were appreciated and that his behavior contributed to the company's overall vision. The boss can give him a gift card, celebrate him with a small celebration, or even offer him additional time off work. His actions speak volumes about his character, which means that other customers will feel comfortable trusting him with any packages they may have delivered. They should also consider putting together an internal newsletter that highlights the great things happening at your post office each month. You can use this opportunity to highlight his story so that other employees can emulate the same behavior.

The supervisor should meet with the employee who sent the letter and applaud them for their outstanding service. This employee should be given a raise or recognition that shows that their hard work is appreciated. The supervisor should also speak with the carrier who provided the excellent service and congratulate them on their job well done! They should be given a raise or other type of recognition as well. If this situation were to arise again, other employees would be more likely to call 911 in the future if they felt someone's life was in danger.
