For this Individual Project assignment, you need to select a project idea for which you will develop a stakeholder register and complete a stakeholder analysis using specific stakeholder tools and techniques. As a project leader, this should help you develop a strategy for managing stakeholder engagement.

After completing your stakeholder analysis, use the information you have discovered and documented to develop your stakeholder management strategy.

Stakeholder Register

Complete a stakeholder register for the project idea that you have chosen for this assignment. A stakeholder register is a document that contains information about identified stakeholders, including their name; organizational position; location; contact information; requirements; expectations; potential for influencing project outcomes; type (internal or external); impact; influence, power, or interest; upward, downward, outward, or sideward; or other classifications.

This register should be set up in a table format.

Stakeholder Analysis

Group your stakeholders based on their level of authority (power) and their level of concern (interest) regarding the outcome of your project in a Power–Interest Grid

Group your stakeholders based on their level of authority (power) and active involvement (influence) regarding your project in a Power–Influence Grid

Group your stakeholders based on their active involvement (influence) and their ability to effect changes to the project's planning or execution (impact) in an Influence–Impact Grid

Utilize the results of your stakeholder analysis to construct your Stakeholders Engagement Assessment Matrix.

Project Stakeholder Management

Project Name: Name of Project

Project Manager: Student’s Name

Project Timeline: Expected delivery timeline

Every project has an ownership structure before, during, and after implementation. The structure dictates project planning, execution, and management to help smooth operations and activities. Infrastructure expansion projects for big entities use standard project management procedures and models. A project’s stakeholders are the critical people in it. This is because they participate in many functions and activities.  Their value and contribution to a project and how the implementation is done make them critical success factors (CSF). Managing the CSFs in a project requires reputable frameworks defined by the project management book of knowledge (PMBOK). This project has many people related to it, either directly or indirectly. They will belong to three groups; users, planners, and implementers.

Role of Stakeholder Management Plan

The purpose of this stakeholder management plan is to highlight the vital stakeholders in the project. It will clearly and concisely outline the roles and responsibilities of human resources before, during, and after implementation. The period before implementation involves planning, and many activities require contributions from all people in the project. Therefore, every person interacting with information systems or using the facilities is a stakeholder in this project. Project implementation requires a comprehensive plan to cover all aspects accountably. Communication and reporting follow a hierarchy in organizations for authority and governance. Hierarchies are eliminated in this project and replaced by information access control.

The PM (project manager) will guide the project and bridge communication between the project team and the senior management. The project will adopt executive reporting for all key stakeholders or their representatives. As a result, this stakeholder management plan outlines the relationships between stakeholders. Technical complexity will dictate project complexity, which necessitates information access policies. With clarity in roles and responsibilities, the people in this project will work harmoniously during execution. Progress and change documentation will be done concurrently to ensure continuity in the process. Consistent and timely reporting ensures the accuracy and integrity of documented information are high.

Stakeholder Register and Analysis

Stakeholders

This project will have many stakeholders who will assume various roles. However, all important personnel in the project and decision-makers are the key stakeholders. They include the project manager, customer, project sponsor, and team members. The project manager is the point person in the project and is responsible for scheduling, coordinating, and managing tasks and communication. The project sponsor is the project owner or the person funding all activities directly or indirectly. Finally, customers are users of products and services that come with it. In a regular project, the three are mainly involved with planning and oversight. Therefore, customers are the key stakeholders that will dictate the user experience design.

The project team includes all human resources on the project that are from the performing organization. Therefore, internal hires to the project team are crucial to integrating organizational culture and project management practices. Time delays and risks will necessitate chartering the services of external human resources for contingency purposes. Everyone involved with project execution, including suppliers and contractors, are stakeholders. However, their roles are reduced compared to the critical ones. Key stakeholders will undergo iterative development to integrate risk and quality control processes.

Stakeholder Management

For ease of management, the PM will oversee everything in the project. They will control tasks and execution to manage resources carefully. Additionally, they should document progress and report to senior stakeholders in the executive. A communication plan will dictate how team members can communicate in this project. The PM will lead team meetings and report progress to the project sponsor and the executive. Although authority is crucial in project management, it is not a mandatory rule with specific outcomes. The project team members work more efficiently when they have freedom and are limits of their futures outlined. Conflicts between stakeholders are resolved internally to show ideal ways of resolving.

Stakeholder Communication Plan

The stakeholder management will follow a simple path of success dictated by existing resources against their use. However, a good communication plan must have a strategy and a plan for its execution. This project will introduce a hybrid plan involving lateral communications and administrative communication hierarchy. Project team members should communicate with others through lateral communication. Administrative channels bypass a communication channel structure for higher priority issues. For example, risk reporting qualifies as a priority component in the project because it starts the intervention process. Therefore, the project team members and human resources are encouraged to be risk reporters.

Feedback Loop for Stakeholder Management

The expectations of all personnel on the project are outlined in their duties. Their roles and responsibilities dictate the duties of human resources. All have the freedom to do their duties as efficiently as possibly acceptable. However, the institution controls who, where, and what information is disseminated. All stakeholders understand that their contributions are valuable to the project. The information collected from the team members and the project’s human resources will define future human resources management. This project's feedback loop uses the current progress to evaluate the work done. Data analytics in the software used to manage the project provides valuable insights to improve the process.

Human Resources Requirements

The stakeholders in this project are either members of the general public or are part of a human resources team in their organization. As mentioned earlier, the project will hire internal personnel from the performing organization. Technical expertise will be the foundation of hiring external personnel because it expands the project team composition. Success will be determined by finding the ideal balance between internal and external individuals. As a result, human resources requirements will undergo careful evaluation because they are critical success factors (CSFs) in the project. The project will use HRM principles to handle non-project-related issues. Resolving the issues related to the project will follow an extensive in-house plan. The purpose is to establish and increase its credibility and reputation. Regardless of the situation, the project will adopt the most effective approach to reaching a desirable end. Therefore, human resources are crucial to the project’s success and must be managed well.

Stakeholder Management Plan Updates

The project anticipates changes to occur during implementation. The changes include the provisions of this stakeholder management plan. Consistent updating of the existing plan ensures continuity and development. In addition, the updates help make necessary changes to reduce and eliminate complications in managing the project’s stakeholders. Approval of a change follows a thorough assessment of the approach, model, and expected outcome. It also evaluates its impacts on the project and the people. The project’s insights are developed by analyzing the data. Then, it will use them to modify a process or activity. Upon verification of alignment with project goals and objectives, an update must be approved by the project manager and documented effectively for accountability.
